Recalling a Submitted Timesheet
If you act as a timesheet initiator who keys and submits timesheets on behalf of payees, you can recall a timesheet that you have submitted for approval if you realise that there is an error or omission on the timesheet that you need to correct before the timesheet can be approved. Recalling the timesheet changes its status from Submitted to Incomplete, thereby allowing you to access the timesheet from the Incomplete Timesheets screen so that you can edit the timesheet as required. If you are the initiator of a timesheet you can only recall a timesheet you have submitted if the timesheet is yet to be approved.
If you act as an agency-level timesheet approver, you can recall a timesheet that has been approved so long as the approval process for the timesheet is yet to be completed and the timesheet is yet to be approved by a higher level approver. For example, if you are a first-level approver you can recall a timesheet that has been approved by you or another first-level approver so long as the timesheet is yet to be approved by a second-level approver.
Timesheets that are subject to multiple approval levels remain in the Submitted status, and can therefore be accessed via the Submitted Timesheets screen, until all approval stages have been completed.
You cannot edit a timesheet that is in the Submitted status. If after recalling and checking a timesheet timesheet it is necessary to edit the timesheet, you must reject the timesheet so that its status reverts to Incomplete. You or the timesheet initiator will then be able to open the timesheet for editing from the Incomplete Timesheets screen.
Submitted timesheets can be recalled individually or you can recall multiple timesheets simultaneously.
How to Recall a Submitted Timesheet
1 | Open the Submitted timesheets screen. |
2 | In the list of submitted timesheets, click the checkbox next to the timesheet(s) to be recalled. Tip: If you want to recall all listed timesheets, click on the checkbox at the header level. A tick appears next to the selected timesheet(s). |
3 | Click Recall. A message is displayed confirming that the selected timesheet(s) have been recalled. |
The Recall button is unavailable if any of the selected timesheets have already been approved by an approver/the next approver in the approval workflow. If you need to edit or re-check any approved timesheets, notify the relevant approver, who may be able to reject or recall the timesheet.
