Link a Contact to another Client
Where Client records are linked to a Parent record, a Client Contact may work across different Clients within the Parent Group. Where this is the case, the Contact can be linked to other Client records, so they are available to apply to items owned by the linked Client record like Job Orders.
Within the organisational structure, three tiers can exist:
A Parent Record, if required, is linked to subsidiary Client Records, the Parent Record sits at the top of the entity hierarchy.
Subsidiary Client Records exist as the second tier within the hierarchy.
Cost Centre Records, where created within Client Records, become the third tier in the hierarchy.
Client Contacts can be linked to one or many Clients within the Parent Group as shown below. Contact B1 is linked to Client 2 and Client 1.
Client Contacts can be linked to one or many Cost Centres owned by the linked Cilents as shown below. Contact B1 is liked to Client 2's Cost Centre A, and Client 1's Cost Centre B.
Linked Client Contacts can be applied to any Job Orders, Referral Workflows, Comments and Activities owned by the linked Clients.
Where the FT360 middle and back office functionality is utilised, linked Contacts are available to apply to Debtor records, Timesheet Workflows and notification items.
Link a Contact to another Client within a Parent Group
1 | Open the Contact record and navigate to the Linked Client section. | |
2 | Select Link. The 'Add Client' screen is displayed. | |
3 | Click in the Select Client field to display the Client records within the Parent Group. The Client names are displayed. | |
4 | Select the Client(s) required and select Save. The linked Client record(s) are displayed in the Linked Client list. |
Remove a linked Client from a Contact record, or a linked Contact from a Client record
1 | Open the Contact record and navigate to the Linked Client section OR open the Client record and navigate to the Contacts section. | |
2 | In the Contact Linked Client list, select Remove next to the Client record to be removed OR in the Client record's Contacts list, select Remove next to the Contact record to be removed. The linked Client / Contact is removed from the list. Note: Where the linked Contact has been applied to items associated with the linked Client like Cost Centres, Job Orders, Comments, Activities, Billing Module Debtor records, Timesheet Workflows, the Contact cannot be removed from the Client and a warning is displayed. Where the linked Contact is only applied to one Client, as a Contact must have at least one Client, the Contact cannot be removed. Where the Contact is no longer required in any Client records, the Contact's Status can be changed to 'Inactive'. | Â |
